URGENT COMMITTEE MEETING
HELD Wednesday 1st February 2012

This Meeting was called to discuss the purchase of a big screen monitor for IRMS
Present
Wayne Mowbray (WM) as Chair, Grahame Haines (GH), Matt Gay (MG), Matthew Bindon (MB), and Paul Bretherton (PB), Andrew Colquhoun (AC) Steve Trott (ST).

As there was some disagreement within Committee over the way the big screen purchase decision was made , GH called a meeting to allow all to air their views.

On 24th Jan ST had sent an e-mail to all committee members requesting permission to purchase a big screen monitor to place in drivers stand so competitors can instantly see race results as they happen.

He advised it needed to be an LED version as they use the least amount of power given we run off a 12v battery with 12~240 inverters providing power he could get a staff discount and submitted a price of costs to a value of $1347 for the monitor and appropriate cabling to hook up to the power, and for all to comment.
It was noted that a non reply to Steves email was counted as a yes vote.
GH, as Secretary, advised that given we had made a saving of $1500 on the budget allowed for with Dale building our website and this cost being within that saving then the funding was available to make the addition.

4 members agreed to request and 2 not via e-mail

1 didn’t reply as a decision to hold a meeting was made to discuss the purchase. He thought that a decision would be made at the meeting, not before meeting based on a non reply being a yes vote.

Funds were forwarded to ST to make the purchase.

There were good arguments from both sides of the decision The main being that there were possible cheaper options than what we got.

The general concensis was that there needs to be a protocol drawn up for future committees regarding large purchases like such that the whole committee is involved in making the decision in a meeting situation and not via e-mail only.

Agreed.

Following this there was some brief discussion on Nationals but as GH reported only a couple had entered at this stage. As usual most will enter in the last week..
