HELD WEDNESDAY 5th NOVEMBER 2012

GH reports we have 94 financial members so far

GENERAL BUSINESS.
SECRETARIES IMPENDING MOVE TO AUSTRALIA
Nitro informed committee he has accepted a work position in Perth and is flying out on 12 November then returning 13 Dec for Xmas break then he and Marie both fly out 1 Jan 2013 for minimum 12 month stay.
To make things easy he agreed to see out the rest of the year doing duties from Australia then makes it easy doing balance sheets etc.
Obviously with Nationals coming up it would however be better to have someone NZ based to take entries and process nationals stuff.
As he had all trophies and other NZMPBA stuff stored in his garage that needed to be in the North Island for nationals he pointed out that he was delivering his Holden Calais to Auckland before flying out and saw a it as a good opportunity to get the gear to a delivery point up there.
WM pointed out that as it was Wgtn offshore weekend he could arrange to meet at ferry terminal to uplift the gear. Agreed to do this.
As for other impending secretary/treasurer work the remaining committee will discuss a temporary measure to cover the period from 1 Jan to AGM.
Possible option was for AC to do treasury stuff and BG the secretarial stuff
GH pointed out he has everything stored electronically and will be able to pass info on to new stand in.
Internet banking will need to be sorted out before next man takes over.
Suggests that Sec/Treas job should be the one person to make functioning easier as in the past having them separate has caused issues.
Committee agreed to work on having something in place by 1 Jan.
REMITS FOR NEXT AGM
GH we have no new ones since last meeting so those wishing to submit others need to be thinking about them and submitting to secretary before AGM.
Committee had a brief general discussion on rules that still need to be tidied up namely T2 Thunderboat and engine classifications etc and possible new rules to be introduced eg new record classes for 2 lap oval similar to USA and Australia.
MEMBERSHIP APPLICATION FORM
BG has amended it to add in a disclaimer as well as taken out the radio frequency bit as most are running 2.4 gig gear now. Sec/ Treas addresses will obviously have to be changed.
General consensus was that it looks good.
WALKIE TALKIE RADIOS FOR COMMUNICATION WITH RESCUE BOATS.
AC and ST looking into prices for gear that would work in our situation so Contest Director can communicate with rescue boats direct instead of relying on PA system. Some discussion on different systems available for various situations
NZMPBA BANNERS
Two been made and all agreed look pretty sharp.
St suggested that clubs can apply to have one for their club activities and even purchase on if desired.
INSURANCE
State has advised our policies are being cancelled and new ones written. It was brought to our notice that only the trophies were covered as well as public liability.
Agreed we need to get a value for all our gear and get re insured.
Both ST and AC being in the insurance game agreed to look at getting prices form their respective companies for committee to consider.
All agreed trophies need to be measured for size and dimensions embedded onto spread sheet done by secretary WM agreed to measure trophies.
AC advised our plant needs to be insured as mobile plant and equipment as it does get moved round the country.
WEB SITE
On going work to get updates done
Dale has forwarded instructions to Secretary who has forwarded onto administrators.
GH has added archives to site but in the wrong place where intended.
NATIONALS.
WM sez venue is ready to go the Venue for the prize giving dinner is sorted
Also venue for AGM.
Need to get the entry forms sorted as we only have 4 months to go. And also remits.
EVENTS CALENDAR
St. I have done about 5 versions now and it is going to be a pretty busy year in 2013.
Will be posted on website shortly.
NI CHAMPS
Was a good dress rehearsal for Nationals. Showed a few minor things that need a tweak
